External Users of the Church Building

1. The agreed fee must be paid in advance of the hiring. This is £25/hour.  In the case of regular bookings we ask for monthly, half-termly or termly payments preferably by bank transfer to “Cherry Hinton Baptist Church”  Sort Code: 405240 Account Number: 00007681. 

2. In the case of regular bookings, Cherry Hinton Baptist Church (CHBC) reserve the right to use the building when we have occasional activities which need the use of the building, and that we will give the User as much notice as we are reasonably able to give.  The User and CHBC each agree to give the other party three months’ notice as and when they wish to cease the regular booking. 

3. CHBC retains control, possession and management of the building and the user has no right to exclude nominated members of CHBC from the premises. 

4. The User is responsible for all damage (other than fair wear and tear) to the church building or any of CHBC’s fixtures and fittings or equipment which is occasioned in whatever way by the use of the church building .

5. The Church building may only be used by the organisation and for the purpose and during the period agreed with CHBC.  CHBC may terminate this agreement immediately at any time if there is a breach of these conditions by the User, or what is deemed by CHBC to be inappropriate behaviour.

6. The User may use electrical equipment (PA system, Projection system, Keyboard and Amplifiers) on the strict understanding that they are left as they are found (with no settings changed) and that they are switched off properly.  The storage of the User’s equipment is by arrangement with CHBC. 

7. Heating will be set up automatically in winter months.  Heating can be changed using the override switch or the extra hour switch on the heating control unit.  However, the gas heaters must NOT be switched off at the mains next to each heater.  

8. After the use of the Church building it must be left in a clean and tidy condition with floors swept as necessary and all furniture and equipment left in the same position as at the commencement of the hiring and the hirer must ensure that all lights are turned out, and all doors and windows properly secured. The User needs to include adequate time in the booking period for this clearing up.  

9. The User agrees that CHBC accepts no responsibility for injury or loss to person or property arising out of the use of the Church building apart from such injury or loss which arises from CHBC’s responsibility for the general maintenance of the Church building and the User will keep CHBC indemnified against any claims for which CHBC is not responsible. The User is responsible for having their own public liability insurance.

10. The User has a responsibility to notify CHBC of any defect in the Church building or in any of the church’s furniture or other equipment in the Church building.

11. The User will comply with the provisions of CHBC’s Health and Safety Policy ,undertaking their own risk assessments (which can be based on our Risk Assessments) and ensuring that all those using the Church building are aware of the appropriate safety procedures.

12. The User will ensure that no consumption of alcohol, no smoking, no watching of TV programmes (on equipment plugged into the mains - including use of iPlayer) takes place in the Church building.  Use of incense or candles within the building is generally not permitted. 

13. The User needs to ensure that they comply with relevant legislation if they are dealing with young people or vulnerable adults, having their own Safeguarding policy and undertaking their own DBS checks. The User is responsible for supervising any children present.

14.  There is on street parking in Fishers Lane.  Also, when not in use by users of Family Centre, the car park in the Family Centre may be used. Vehicles and their contents are left at owners’ risk.  The gate to the car park is not locked, but closed when the car park is empty. Those in the first car arriving at an empty car park open the gate, those in the last car leaving the car park close the gate.  

15.  In terms of respecting our neighbours, the User will ensure that there is not excessive noise, both from the use of PA systems, and also when entering and leaving the building, particularly in the evening.

16. The kitchen.can be used, but should be left as it is found - use of tea and coffee is by arrangement with CHBC.

17.  Animals are generally not allowed in the Church building.  However, we make an exception for guide dogs, hearing dogs and well being dogs, in which case it would need to be agreed with others attending the group; and the person or group would need to ensure that all relevant cleaning for dog hair and any “accidents” is done thoroughly.
